Privacy policy
Draft. The highlighted items are to be completed or confirmed by imCAD, and the full text should be reviewed by a lawyer before it takes effect. This English version is a translation provided for convenience. If it differs from the Vietnamese version, the Vietnamese version prevails.
Quick summary
- Your SOLIDWORKS design files stay on your computer: imCAD does not upload them to imCAD’s servers.
- Your conversations with the AI go directly from your computer to the AI provider you choose (Claude or ChatGPT), not through imCAD’s servers.
- imCAD only stores account information, computer activation information, technical usage logs, the number of seconds of voice input used, and error reports.
- Detailed logs, conversation content and screenshots are sent to imCAD only if you tick them yourself when reporting a problem.
- When you use the microphone to dictate instead of typing, the audio is only converted to text and then discarded; it is not stored.
- We do not sell your personal data.
This policy explains how [Full legal name of the imCAD company], enterprise code [...], address [...] (“imCAD”, “we”, “us”) collects, uses and protects personal data when you use the imCAD software, the imcadagent.com website and related services (the “Service”). imCAD is the controller and processor of your personal data and applies this policy in accordance with the Personal Data Protection Law of Vietnam and its implementing regulations.
1. Data we collect

The imcadagent.com website does not use advertising cookies or third-party tracking tools. The website only stores the following in your browser: your light / dark theme and language choices, the site’s display settings (colors, logo) so that pages load faster, and your sign-in session when you sign in on the website (kept in sessionStorage and cleared when you close the browser; kept in localStorage only if you tick “Keep me signed in on this computer”). The default fonts are bundled with the website; only if imCAD switches to a different brand font does your browser load it from Google Fonts.
2. Data we do not collect
- Design files (parts, assemblies, drawings): these remain on your computer. imCAD reads and writes them locally, at your request.
- Conversations with the AI: these are sent from your computer to the AI provider using your own account; imCAD does not store them (except for any summary you choose to attach to a problem report).
- Microphone audio when you use voice input: it is only converted to text and then discarded, and is not stored on imCAD’s servers.
- Your AI account password (Claude, ChatGPT): you sign in directly with the AI provider.
Note: when you send requests, images or drawings to the AI, that content is processed by the AI provider under its own policies (see section 12).
3. How we use data
- To create and manage accounts, authenticate sign-ins and activate your license on the correct computer.
- To provide the skill and knowledge library and software updates.
- To detect and prevent account sharing, unauthorized sign-ins and misuse of the Service, including misuse of the free trial (one free trial per computer).
- To convert your speech to text when you use the microphone, and to apply daily usage limits.
- To reply to your enquiries and prevent spam on the contact form.
- To find and fix bugs, provide support when you report a problem, and improve the quality of imCAD.
- To process payments, issue invoices and meet accounting and tax obligations.
- To send necessary notices about your account, renewals and changes to the Terms; and to send product information if you consent.
- To comply with the law and lawful requests from competent state authorities.
imCAD does not use your personal data to train AI models.
4. Sharing data
We do not sell personal data. We share data only in the following cases:
- Infrastructure providers: imCAD’s servers and databases run on the cloud infrastructure of Cloudflare, Inc. Cloudflare processes data only on imCAD’s instructions in order to operate the Service. When you use voice input, the audio is converted to text by a speech recognition model running on Cloudflare Workers AI, within the same infrastructure; the audio is not stored after conversion.
- Email provider: Cloudflare’s email sending service (Cloudflare Email Service), used to send email verification and password reset messages.
- The business that manages your account: if your account was purchased by your company, the company may be informed of your account status and computer activations.
- As required by law: when a competent state authority requests it in accordance with the law, or to protect the rights and safety of imCAD and its users.
- Business restructuring: in the event of a merger or transfer, data is transferred to the successor and remains protected under this policy.
5. Access by imCAD staff
A small number of authorized imCAD staff may view problem reports (including logs, conversation summaries and screenshots you chose to send) to find the cause and support you, and may view account information to handle requests and payments. Staff are bound by confidentiality obligations and access data only when needed for their work.
6. Transfers outside Vietnam
Cloudflare’s infrastructure stores imCAD data in the Asia–Pacific region, which may be outside Vietnam. The AI provider you choose may also process data abroad. When transferring personal data abroad, imCAD carries out the procedures and safeguards required by Vietnamese law. By using the Service, you consent to these transfers.
7. Security
- Connections between the app and the server are encrypted (HTTPS).
- Passwords are stored as salted hashes; accounts are temporarily locked after several failed sign-in attempts.
- Sign-in information stored on your computer is encrypted using Windows data protection, tied to your Windows account.
- License tokens and software updates are digitally signed; the app verifies the signature before use.
- Access to the administration site is restricted to staff who need it.
No system is completely secure. If a personal data breach occurs, imCAD will notify you and the competent authorities within the time limits required by law.
8. Marketing emails
We send emails about features and offers only if you consent. You can unsubscribe at any time via the link in the email or by emailing us. Necessary notices about your account, security and renewals will still be sent even if you unsubscribe from marketing emails.
9. Your rights
Under personal data protection law, you have the right to:
- be informed about the processing of your personal data;
- give or withhold consent, and withdraw consent;
- access, view and obtain a copy of your data;
- request correction of inaccurate data;
- request deletion of data, restriction of processing, and object to processing;
- file complaints, denunciations and lawsuits, and claim compensation as provided by law.
To exercise these rights, email [email protected] from your account’s email address. We may need to verify your identity before processing your request and will respond within the time limits required by law. Some data may have to be retained where required by law (for example, accounting records). Withdrawing consent or deleting necessary data may prevent you from continuing to use the Service.

11. Children
The Service is intended for persons aged 18 and over and for businesses. We do not knowingly collect data from children. If you become aware that a child has provided data to us, please let us know so that we can delete it.
12. Third-party services
imCAD works with services that you use with your own accounts, which have their own privacy policies. imCAD does not control how these parties process data:
- AI services: Anthropic (Claude), OpenAI (ChatGPT / Codex).
- SOLIDWORKS by Dassault Systèmes.
Please read these providers’ policies, especially regarding retention of conversation content and use of data for model training, and choose settings that meet your company’s security requirements.
13. Changes to this policy
We may update this policy when the Service or the law changes. The date of the latest update is shown at the top of this page. Material changes will be notified by email or in the app before they take effect.
